MAIN SCREEN HELP

Login to Imagefreeway:

 

To Login to ImageFreeway:

Enter the User Name and Password assigned to you by the system administrator.

Click the Login button!

The ImageFreeway server will authenticate your login information. Depending on the projects and rights that you have been given, you will either be taken to the Select Project or the Enter Search Criteria screen.

Select a Project:

 

Based on the Login information that you entered in the Login screen, ImageFreeway authenticated you as a user and has displayed a list of departments and projects that you have been granted access to by the system administrator. Each of these project has three actions that can possibly be performed. A user may have rights to retrieve, scan, or web index documents. If you have rights then an icon will be displayed in the corresponding column.

To Select a Project:

  1. Using your mouse, move the cursor over the retrieve, scan, or index icon on the row of the project that you wish to work on.

  2. Click the appropriate icon once the cursor changes.

The ImageFreeway server will then take you to the next screen.

DOCUMENT RETRIEVAL HELP

Search Criteria:

 

The key to the ImageFreeway Viewer is its extremely easy, yet powerful, search capabilities, allowing you to locate any desired document in seconds.   ImageFreeway offers the ability to easily perform both extremetly detailed or broad searches within a project.  You can perform multiple searches within a project at the same time and perform limiting searches (allowing you to specify an index value range) on dates and numbers. You can even perform a search on all text that has been keyed into annotations. There is an annotations search box that is always on the search criteria screen.

General Searching Rules:

  • By default, ImageFreeway will limit the number of documents returned from a search to an administrator assigned value.

  • All numeric and date fields allow you to perform limiting searches to limit the results to a specific range of values. If both range limits are not filled, ImageFreeway will search for the one specific value filled in.

  • ImageFreeway defaults to using a wildcard at the beginning and end of the search string. A search will be performed for any values that match the string you type in.

  • You can perform multiple searches within a single index field by using the & (and) and ^ (or) operators. To perform a search on a name field for names that begin with A or Z, you could simply enter "A*^Z*". To perform a search on a name field for names that begin with A, but end with P, you could simply enter "A*&*P" or "A*P".

  • You can perform searches on multiple fields at one time. Simply enter the search criteria into the desired fields and select a Search Type of "AND" to force all of the criteria to be met or "OR" to allow any of the criteria to be met. The search type automatically defaults to "AND".

  • You can clear all of the entered search criteria by selecting the Clear Fields button.

To search for a document within a project:

  1. Enter the search criteria in the desired fields.

  2. If you entered criteria in multiple fields, select the type of search you would like to perform in the Search Type box.

  3. Select the Search button to perform the search.

The ImageFreeway server will perform the search and list the documents that meet the specified search criteria in the Search Results screen.

Display Search Results:

 

Based on the information you entered in the Search Criteria screen, ImageFreeway performed your search and has displayed a list of documents that meet your search criteria.  At the bottom of the list of documents, ImageFreeway displays the number of documents that were found that meet your search criteria. 

Note: By default, ImageFreeway will limit the number of documents returned from a search to an assigned value.  If this has occurred, ImageFreeway will alert you to this at the bottom of the document list.   If you wish to narrow your search for specific documents that meet your search criteria, select the Search Criteria link on the left and re-enter your search criteria.

To Select a Document to View:

  1. Using your mouse, select the desired document and click the View button.

The ImageFreeway server will cache the pages for the selected document into a temporary cache location and will show the Display Document screen.

Display a Document:

 

ImageFreeway has displayed the selected document.  You can navigate through the pages of the current document, as well as other documents in the results list. You can zoom in and out of areas on the current image.   You can also print, e-mail, and export the document if you have been granted security access to do so.  All of the options are available through the icons and buttons along the top of your screen.  Below is a list of supported functions:

Previous Document Jumps to the first page of the previous document in the results list.  
Next Document Jumps to the first page of the next document in the results list.  
E-mail Document E-mails the current document using a MAPI compliant e-mail application.  
Print Document Prints selected pages to a user-selected printer.  
Zooming Zooms in on a user defined area of the image.  If you click the magnifying glass with the "+" or the "-" the image will zoom in and zoom out. If you right click on the magnifying glass and move the mouse icon over the area of the image that you wish to zoom in on, that area will be zoomed. If you left click the magnifying glass, a new window will open. Once the new zoom window is opened, move the mouse icon over the area of the large image that you wish to zoom in on. The zoomed region will be displayed in the new window. You can further control the intensity of the zoom by moving the scroll bar on the left side of the new magnifying window. N/A
Scale to Width Scales the image to the width of the screen.  
Scale to Height Scales the image to the height of the screen.  
Reset Image Scales the image to the width of the screen and sets the rotation to 0 (zero).  
Rotate Image Rotates the image in 90 degree increments.  
First Page Jumps to the first page of the current document.  
Previous Page Jumps to the previous page of the current document.  
Next Page Jumps to the next page of the current document.  
Last Page Jumps to the last page of the current document.  
Full Page Removes the thumbnails and displays only the current image.  
Two Pages Displays two pages side by side.  
Thumbnails Left Displays the thumbnails on the left side and the image on the right.  
Thumbnails Top Displays the thumbnails on the top and the image on the bottom.  
Thumbnails Right Displays the thumbnails on the right side and the image on the right.  
Thumbnails Bottom Displays the image on the top and the thumbnails on the bottom.  
Brightness Slide Bar Controls how bright or dark the main image appears.  

CAPTURE HELP

Scanning Page:

 

This is the main screen of the scanning application.  The three buttons on the left allow you to either scan a single document or scan multiple documents at the same time.  The "scanner setup" button allows you to select the scanner you will be using.  Your scanner selection will then be saved and should be changed when you change scanners.  From any of these screens, you can navigate through the pages of the documents you have scanned.  You can zoom in and out of areas on the current image.   You can also rotate the current page, delete a page, and delete a document.  All of the options are available through the icons and buttons along the top of your screen.  Yellow icons are associated with document level controls and white icons are associated with page level controls. Below is a list of supported functions:

Delete Document Deletes the currently displayed document.  
Previous Document Jumps to the first page of the previous document.  
Next Document Jumps to the first page of the next document.  
Rescan Page Launches the scanner dialogue box and then replaces the currently displayed image with the newly scanned image.  
Previous Page Jumps to the previous page in the current document.  
Next Page Jumps to the next page in the current document.  
Rotate Image Rotates and saves the image in 90 degree increments.  
Scale to Width Scales the image to the width of the screen.  
Scale to Height Scales the image to the height of the screen.  
Zoom In Zooms in on the current page making it appear larger.  
Zoom Out Zooms out on the current page making it appear smaller.  

Local Indexing:
To Index Documents:

  • Click on the index tab found at the bottom of the left hand side of the screen.
    1. Place cursor in the first index field and click once to highlight the field.
    2. Check to see what information the index field is asking for.
    3. If the index field is asking for a date then make your entry in a date format.
    4. If the index field is asking for a number then make your entry using numeric keys only.
    5. If the index field is asking for an alphanumeric entry then letters and numbers may be used.

  • To move between fields press the enter key to move forward through the fields, or simply click the mouse cursor in the selected field.

  • When the last field has been indexed, press the enter key to move on to the next document.

Capture Settings:
To Adjust Capture Settings:

  • Click on the settings tab found at the bottom of the left hand side of the screen.
    1. If your documents are a fixed number of pages each then select fixed number of pages.
    2. If your documents are a fixed number of pages and your scanning duplex (front and back) and some of the pages are blank you may want to select the fixed number of pages and put a check mark in the delete blank pages box.
    3. If you are capturing and have to stop for any reason, you must continue from the point where you left off. The software will continue with capturing pages and placing them in the document until it reaches the fixed number of pages you have selected. So please have all documents together before starting to capture images.
    4. If your documents are not fixed number of pages then you want to select blank page separator. Be sure to place blank pages between each document before scanning. Place a check mark in the delete blank pages box so you won’t have blank pages appearing at the beginning of each document.
    5. If you are capturing and have to stop for any reason and you are using blank page separators, and you are at the start of a new document, you must place a blank page on top of the set of documents you will continue capturing. If you fail to do this, the new document will be merged with the previous document.
    6. To adjust the blank page size put a blank sheet of paper in the scanner, and click on auto set. A dialogue box will pop up and tell you to put a blank page in the scanner, click on OK. Then click on the scan button and the page will automatically run through the scanner and the settings will appear. Click on save settings.

  • To move between fields press the enter key to move forward through the fields, or simply click the mouse cursor in the selected field.

  • When the last field has been indexed, press the enter key to move on to the next document.

WEB INDEXING HELP

Search Criteria to Edit Indexes:

By clicking on All Unindexed Search The ImageFreeway server will perform the search and list the documents that have not yet been indexed.

If no specified search criteria has been selected then the ImageFreeway server will perform the search and list all documents in the Search Results screen.

Display Search Results to Edit Indexes:

 

Based on the information you entered in the Search Criteria screen, ImageFreeway performed your search and has displayed a list of documents that meet your search criteria.  At the bottom of the list of documents, ImageFreeway displays the number of documents that were found that meet your search criteria. 

Note: By default, ImageFreeway will limit the number of documents returned from a search to an assigned value.  If this has occurred, ImageFreeway will alert you to this at the bottom of the document list.   If you wish to narrow your search for specific documents that meet your search criteria, select the Search Criteria link on the left and re-enter your search criteria.

To Select a Document to View and Edit Index values:

  1. Using your mouse, select the desired document and click the View button.

The ImageFreeway server will cache the pages for the selected document into a temporary cache location and will show the Display Document screen.

INDEXING:

 

If a specified index field with predefined values has been setup within a project, a drop down list will appear. These predefined values are the only values which may be used during indexing.

By depressing the tab key you can move forward through the index fields.

By depressing the tab and the shift key you can move backward through the index fields.

After all index fields have been populated click on the UPDATE button, or press the enter key to save the information.

ADMINISTRATION HELP

Adminstration Menu:

 

Based on the Login information that you entered in the Login screen, ImageFreeway authenticated you as has determined what administrative rights to departments and projects that you have been granted. From this screen you can navigate to User Management or Administrative Reporting. Simply click on the desired link and you will continue to the next step in the administration process.

User Management:

 

The User Management screen allows you to add, edit, or delete user rights and information.

To add a new user:

  • Click on the appropriate link at the bottom of the list.

To edit User INFORMATION:

  • Click on the icon to the left of the user's name.

To edit User RIGHTS:

  • Click on the user's name.

To delete a User:

  • Click in the box to the right of the user's name. Then click in the Delete box button at the bottom of the list.

Add/Edit User Information:

 

The User Information screen is straight forward and easy to follow. Just populate each field on the screen with the appropriate information. To navigate between fields, either click on the desired field or use the Tab or Shift Tab keys.

Username:

  • This is the login name to be given to a user. It must be a unique name to the ImageFreeway system. If another user already has that name, a message will appear on the right side of the screen once the Insert button has been clicked. The username can contain letters, numbers, and symbols. If you are having trouble finding a unique name, we recommend using the persons email address including the @ symbol. That will always be unique.

Password:

  • This field is required and MUST be populated.

First Name:

  • The user's first name.

Last Name:

  • The user's last name.

AllowPasswordChange:

  • Check this box if you want to allow the user to change their assigned password. Leave it empty if you do not want to allow the user to change their assigned password. As a user administrator, you will have the ability to change it later if necessary.

Email:

  • This is the address that will be displayed as the return address when a user sends an email from the display document page. This should be valid email address and should not be left blank.

Client ID:

  • Each user should be assigned to a client. Most of the time only one selection will apear.

Insert button:

  • Click on this button to add the user information to the system. The information will not be changed or added unless this button is clicked. If you are adding a new user, you will be taken to the user rights screen after clicking this button.

User Rights:

 

Based on the client the user belongs to and the administrative rights you have, only departments and projects that you have been granted administrative priviledges for are displayed.

Each of these project has three actions that can possibly be performed. A user may have rights to retrieve, scan, or web index documents. The user may also be given administrator priviledges. The rights are inherited down from the client level through the department level and down to the project level.

For example, if a user is granted adminstrative priviledges at the department level, then that user inheritly has all rights to all projects under that department. So if you give the same user "SCAN" rights to a project under the same department, it would not matter because that user would already have rights due to the administrative setting at the department level.

Click in the checkbox of each corresponding column and to give that user rights for that specific action on that specific level.
